CONSTITUTION
LADY MABEL COLLEGE OLD STUDENTS’ ASSOCIATION
From January 2027
1 Name: The name of the Association shall be ‘Lady Mabel College Old Students’ Association’.
2 Membership: Membership of the Association shall consist of:-
a) Ordinary Members: Students who have successfully completed any of the recognised courses of teacher training at Lady Mabel College or membership granted at the discretion of the committee under exceptional circumstances, and ratified by the Association at the Annual General Meeting.
b) Honorary Members: At the invitation of the Association, people who have given special service to the College or to the Old Students’ Association may become Honorary Members. All Presidents who have served a full term of office are eligible to become an Honorary Member. Proposals for Honorary Membership must have a proposer and seconder, and a citation giving the reasons for recommending honorary membership. The relevant nomination form is available on the LMCOSA website and must be sent to the Secretary before the committee’s Spring meeting. The proposal will be considered by the committee at their Spring meeting and ratified at the next AGM.
c) Staff Members: Staff who have worked at Lady Mabel College are eligible for membership similar to ordinary members.
3 Committee and Officers
LMCOSA will be managed by a committee. All officers are to be elected at an AGM. Ordinary members who have been members for a minimum of one year are eligible to be nominated for committee membership. Where there is more than one candidate for a post, or there are more nominations than places available, the election shall be by a show of hands and a simple majority of those present.
Officers are drawn from ordinary and staff members who have served on the committee for at least one year.
The Officers of the Association shall be:-
President, Vice-President, Secretary, Treasurer and Membership Officer, Magazine Editor, Media Officer and Reunion Liaison Officer.
The Committee is made up of the above Officers and up to five other Ordinary or Staff Members of the Association.
a) The President and Vice-President shall be elected for three years and shall not be eligible for re-election. The committee nominates a committee member for Vice-President, and this is ratified at the AGM. The Vice President serves up to a three-year term before becoming President for a further three-year term.
b) The Secretary, Treasurer and Membership Officer, Magazine Editor, Media Officer and Reunion Liaison Officer shall be elected for three years, after which they are eligible for re-election.
c) Committee members shall be elected for two years and may not serve for more than two consecutive terms.
d) The Committee shall have the power to co-opt. Anyone serving as a co-opted member can do so for one year, after which they need to be elected to become a member of the committee.
e) Committee’s Voting procedure: Each committee member has one vote. In the event of a tied vote the President has a casting vote.
4 Annual General Meeting
a) The Association shall hold an Annual General Meeting, 28 days’ notice of which shall be given to all Members. At this meeting, Officers and Committee members shall be elected. Where there is more than one candidate for the post of an officer, the election shall be by a show of hands and a simple majority of those present. The Treasurer, in collaboration with the committee, will appoint an auditor, who will be ratified at the AGM.
b)Voting: Officers, every Honorary, Ordinary and Staff Member present at the Annual General Meeting shall have the power to speak and vote. Fifteen per cent of Honorary, Ordinary and Staff Members attending the AGM shall constitute a quorum. All committee positions and other proposals require a simple majority.
c) There will be a welcome by the President and reports from the Secretary, Treasurer, Membership Officer, Magazine Editor, Media Officer and Reunion Liaison Officer shall be presented at the Annual General Meeting.
d) The Association’s Accounts shall be audited annually, and copies circulated to all members along with the notice and agenda of the AGM.
5 Alteration of the Constitution The Constitution may only be altered at an Annual General Meeting after 28 days’ notice has been given.
6 Subscriptions Annual Subscriptions are due on January 1st. The amount to be determined each year at the Annual General Meeting. Membership of the Association requires an annual subscription, which must be paid in full each year by the due date and by Standing Order after the year of joining. Overseas members should liaise with the Treasurer regarding payment.
Association cheques should be signed by 2 appointed officers of the committee.
Only fully paid-up members and Honorary members will receive the newsletters, magazine and reunion invitation.
- Extraordinary General Meeting (EGM): An extraordinary general meeting may be summoned at any time by the President, with at least 21 days’ notice of such a meeting being given; or by a quorum of at least 10 members who each have made a written application or email to the President and Secretary, stating the reason for such a meeting to be called.
Only the business specified shall be dealt with at this meeting.
